CLIENT STORY

Online Business Manager for Spinal Energetics Practitioners and Holistic Mentors in Melbourne

Ongoing Online Business Management across systems, client experience, content, digital presence and the practical implementation behind two evolving businesses.

This Melbourne client story shows what ongoing Online Business Management can look like when the work spans far more than one area of the business.

My support with Dr Robyn Leeder has included website and brand development, systems, client experience, content, newsletters, social media, digital platforms, ongoing implementation and strategic input across the wider business.

Because I have worked across so many of those areas, I have also built a strong understanding of Robyn’s work, her clients, her offers and the direction of the businesses themselves. That context shapes the way I approach the practical work and the recommendations I make along the way.

The Client

Dr Robyn Leeder, Melbourne VIC
Spinal Energetics Practitioner, Holistic Mentor and Guide
Founder of Helical Healing and GFChiro and Wellness

Robyn is a Melbourne-based Spinal Energetics practitioner and holistic mentor whose work brings together somatic practice, energetic work, intuitive guidance and years of professional experience.

She also runs two businesses, Helical Healing and GFChiro and Wellness, which means there are multiple layers sitting behind the work her clients see.

There are offers to communicate clearly, clients moving through different experiences, websites and digital platforms to maintain, content to create, newsletters to send, systems to manage and new ideas that need to be translated into something practical.

Our work together has developed across many of those layers.

I have become familiar with the details of how the businesses operate, while also understanding the bigger picture Robyn is working towards. That allows me to move between implementation and higher-level thinking depending on what the business needs at the time.

The Challenge

Bringing the business structure and digital presence up to the level of the work.

Robyn already had an established practice and a clear depth to the work she was doing with clients, but several parts of the business around that work needed attention.

Her website no longer fully represented the direction her work had taken. Offers had evolved. The client journey could be clearer. Communication and onboarding were happening across different systems, and there was an increasing amount of content, administration and digital work sitting alongside a full client schedule.

There were also two businesses to consider rather than one isolated offer or service.

That created a practical challenge: important work behind the scenes still needed to happen consistently while Robyn remained focused on client sessions, the development of her work and the direction she wanted the businesses to take.

The support needed to be able to hold detail without losing sight of that wider context.

It included:

  • updating the online presence as Robyn’s work evolved
  • creating clearer pathways for clients
  • improving systems and recurring processes
  • supporting communication across different parts of the business
  • keeping content, newsletters and digital updates moving
  • translating new ideas into practical implementation
  • helping identify priorities when several things needed attention at once
  • maintaining consistency without requiring Robyn to personally carry every backend detail

She wanted grounded support that blended intuitive understanding with practical action and someone who truly understood the energetic sensitivity of her work.

The Solution

Online Business Management across the practical and strategic layers of the business.

My role with Robyn has covered a broad mix of ongoing business support.

Some of that work is highly practical. I am inside the website, building assets, setting up systems, creating content, scheduling posts, sending newsletters and dealing with the details required to make things happen.

Alongside that implementation, I am also considering how each piece fits within the wider business.

When we change something on the website, I am thinking about how it affects the client journey.

When an offer evolves, I am considering how it needs to be communicated and what else may need updating around it.

When Robyn brings a new idea into the business, I can help work through what that idea requires practically, what needs to happen first and how it connects with what is already there.

Over time, that creates a very different working relationship from completing disconnected tasks.

1. Website, brand and digital experience

One of the larger pieces of our work together was rebuilding Robyn’s online presence so it better reflected the depth and direction of her work.

This included:

  • a full brand refresh
  • logo design
  • website design and layout
  • structuring and implementing website copy
  • refining the way offers were presented
  • creating clearer pathways through the site
  • considering the client journey across key pages
  • integrating booking links and workflows
  • ongoing website edits as offers and information changed

The website work was connected to the wider business rather than treated as a standalone design project.

We were looking at how someone encountered Robyn’s work, how they understood what she offered, what they needed to know before taking the next step and how the systems behind the site supported that experience.

2. Systems, workflows and client experience

As the businesses evolved, we also worked on the systems underneath the client-facing experience.

That has included:

  • creating and refining onboarding processes
  • improving communication workflows
  • building reusable templates
  • organising information and client resources
  • simplifying recurring processes
  • connecting booking and communication systems
  • creating clearer structure around work that was previously being handled more manually
  • considering how the systems felt for both Robyn and the people moving through them

I care a lot about this part of Online Business Management because a system can technically function while still creating unnecessary work.

The aim is to have processes that make sense in the context of the actual business, the way Robyn works and the experience she wants her clients to have.

3. Content, communication and ongoing visibility

Robyn’s work has a lot of nuance, which means content cannot simply be separated from the ideas, language and experience behind it.

My support has included:

  • social media design
  • content creation and implementation
  • scheduling and publishing
  • newsletters
  • email communication
  • visual assets
  • ongoing website content
  • maintaining consistency across different digital touchpoints

There is also a practical advantage to having one person involved across both the operational and content sides of the business.

I already understand the offers, website, client experience and the wider conversations happening inside the business, so the content does not need to be created in isolation from everything else.

4. Strategic support, priorities and implementation

A significant part of our ongoing relationship is the thinking that happens around the practical work.

Robyn brings ideas, questions and new directions into the business, and I often help her work through what they mean operationally.

That has included:

  • making strategic recommendations through voice notes and email
  • helping identify what needs attention first
  • thinking through systems and workflow decisions
  • recommending ways to simplify existing processes
  • identifying where the foundations need strengthening
  • supporting decisions around the digital experience
  • helping translate bigger ideas into actionable next steps
  • keeping track of the practical implications as the businesses evolve

Because I understand more of the business over time, I can also notice when something connects to work we have already done, when a process is no longer serving the business or when an idea has implications somewhere else.

That ongoing context is one of the most valuable parts of the relationship.

The Results

Stronger structure around work that continues to evolve

Our work together has created clearer systems, a stronger digital presence and more consistent support around the parts of the business that sit outside Robyn’s client-facing work.

The changes have included:

  • a complete online presence that better represents Robyn’s work
  • clearer communication of her offers
  • a more considered client journey
  • stronger onboarding and communication systems
  • simpler recurring processes
  • more consistent content and email communication
  • ongoing support across two businesses
  • less of the backend work relying solely on Robyn
  • a trusted person inside the business who understands the wider context as well as the practical detail
  • greater clarity around how ideas can move from vision into implementation

The relationship has also developed over time, which means the value is not limited to the individual systems or projects we have completed.

I know the history behind decisions. I understand the language Robyn uses. I know the offers, the businesses, the way she works and the things that matter to her clients. That knowledge makes it easier to support what comes next.

Her own words reflect her experience:

Before working with Kathleen Amy .Virtual:

“I was feeling overwhelmed trying to streamline everything and not really knowing where to start.”

After working with Kathleen Amy .Virtual:

“I know I am being truly seen and heard by Kathleen. [SHE] also has ineffable patience!”
“She is encouraging, patient, insightful and has really been part of my circle who have helped me to see a bigger vision…. She has helped streamline so many aspects of my businesses for simplicity, from my website design to emails, social media and newsletters”

Online Business Management for work that carries depth and nuance

The businesses I support often sit around deeply relational work.

For a practitioner like Robyn, the systems behind the business still need to be professional, reliable and organised, but they also need to make sense for the work being delivered and the people experiencing it.

The client journey needs to feel considered.

The language needs to reflect the work accurately.

The systems need to support the way the practitioner actually works.

The content needs enough structure to be consistent without losing the depth and nuance that make the work valuable in the first place.

This is where my Structure with Soul philosophy comes into the way I work as an Online Business Manager.

I want the structure to make the business easier to work within. I want systems to support the people using them. I want the operational side of the business to be strong enough to hold the ideas, relationships and work at the centre of it.

For Robyn, that has meant being able to move between something as detailed as updating a workflow or scheduling content and something much broader, like looking at how an idea fits within the direction of the business. Both matter.

Is Soulful Support Right for You?

I work particularly well with established practitioners and purpose-led founders whose businesses have developed beyond one simple service.

You may have private clients alongside programs, workshops, content, education, events or other ways people engage with your work.

You may already have systems in place, but know some of them need refining as the business evolves.

You may have plenty of ideas and strategic direction, while needing someone who can understand those ideas and help carry the practical work required to bring them into the business.

And you may simply want another capable person who can become familiar enough with the business that you are not starting from zero every time something needs to happen.

My ongoing Online Business Management can support businesses across:

  • systems and workflows
  • client experience
  • content and visibility
  • email marketing
  • digital platforms
  • websites
  • project implementation
  • recurring operations
  • offer updates
  • business organisation
  • strategic recommendations and practical next steps

The exact mix depends on the business.
